DESCRIPTION

The Director of Academic Personnel at the Rady School of Management serves as the principal advisor to the Dean, Associate Deans, Assistant Deans, and faculty leadership on academic personnel matters. This position provides strategic direction, ensures compliance with university and systemwide policies, and advises on new and existing policies and their implications. The Director exercises leadership and discretionary authority to negotiate and solve complex managerial and programmatic concerns, utilizing independence, ingenuity, and analytical skills to resolve unusual and non-routine problems.

The position is responsible for managing the operations and staff of the Academic Personnel function, including supervising five direct reports. The Director provides overall management of the Academic Personnel team, including supervision, coaching, training, and performance management. Additionally, the Director directs the administration of appointment, reappointment, fellowships, benefits, reviews, and visas for various academic titles. The position also represents the School on campus committees and interfaces with key personnel in various offices to implement and resolve personnel and compensation/financial issue.

QUALIFICATIONS

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Demonstrated experience (typically 3-5 years min) of supervisory experience including interviewing and selecting staff; creating orientation plans, implementing orientation/training plans, monitoring staff learning and development.
  • Experience providing positive feedback to staff as well a constructive coaching; experience addressing performance issues such as productivity, accuracy, teamwork; experience conducting performance appraisals. Experience creating a positive work atmosphere of collaboration, teamwork, and information sharing. Experience developing a rapport with staff and others. Experience formalizing best practices. Experience scheduling staff, reviewing time off requests, reviewing and approving timecards/payroll.
  • Able to interpret complex academic HR policies and procedures with risk management exposure to the organization. Experience interpreting and applying academic personnel policy for a wide variety of academic appointments; experience processing complex appointments, reappointments, merit increases, writing drafts of letters for Chairs or Deans, and organizing the review process of academic files with a track record of completing file reviews in a timely manner.
  • Significant experience researching, interpreting, explaining and applying academic personnel policies, and explaining the academic advancement process. Strong experience researching, analyzing, interpreting, and evaluating complex information related to exceptions or unusual, unprecedented issues.
  • Strong experience managing the academic file process from start to finish, ensuring completeness, timeliness, and accuracy. Experience creating timeframes and meeting deadlines.
  • Experience completing salary surveys for academic personnel, especially from competitive universities. Experience advising on compensation packages, retention packages. Knowledge of higher education or related institution policies, practices, and procedures for academic personnel and their application to academic titles. Experience writing policies and procedures to ensure consistency where no policies may exist or may need to be updated.
  • Requires strong knowledge of organization and system academic HR polices, guidelines, and procedures.
  • Experience supervising staff who are managing the academic file process from start to finish. Training staff to use a wide variety of online systems and spreadsheets, shared drives and other mechanisms to track the progress of work. Experience monitoring workload and reviewing work progress; making decisions to expedite timely and accurate completion of staff's work.
  • Requires political acumen and risk management awareness to prevent potentially litigious personnel actions. Strong portfolio of interpersonal skills: ability to interact with tact, diplomacy and sensitivity. Rapport-building skills. Demonstrated experience in maintaining confidentiality of personnel or other sensitive issues and exercise discretion in dealing with controversial or potentially sensitive topics. Proven experience in exercising independent judgment and discretion.
  • Comprehensive understanding of the academic review process. Comprehensive understanding of the academic review process. Thorough knowledge of and ability to apply / interpret organization and college policies and procedures which govern academic HR. Demonstrated advanced experience in academic file preparation and reviews
  • Able to provide guidance and coaching of process and policies to individual academics, unit management, and various committee groups. Strong experience analyzing complex management issues, developing project scope and solutions.
  • Experience providing professional advice and assessment to senior officials/faculty leadership. Experience assessing options, researching policies for unprecedented personnel situations and making critical decisions regarding personnel. Strong analytical skills to assess information, interpret complex policies, and make recommendations to faculty and administrative leadership. Strong experience independently exercising sound judgment with the acumen and sensitivity to identify those decisions and activities which require higher level consultation and/or group collaboration. Experience devising creative solutions to academic personnel policies while adhering to university policies related to academic personnel, human resources, fiscal policies, while always acting with integrity.
  • Strong decision making, analytical, problem solving, critical thinking, and resource management skills. Critical thinking and problem-solving skills to research and analyze complex information and/or problems related to academic personnel and human resources, and provide advice and possible solutions.
  • Time management and project management skills. Strong organizational skills to coordinate and supervise a large volume of work, delegate work, establish priorities, and meet deadlines. Demonstrated experience in maintaining a high degree of accuracy and attention to detail under the pressure of deadlines, while coordinating a sequential process like academic file review processing.
  • Experience observing/assessing productivity and quality of work. Team-building skills. Experience soliciting ideas from staff to ensure a quality result. Experience implementing change in an effective manner. Experience implementing new university-wide policies and adapting them to department needs, explaining new components to staff, creating standard operating procedures and documenting written practices.

PREFERRED

  • Experience at a UC campus using UCPath, APData, Interfolio, APOnline, Concur. Experience interpreting UC academic personnel policies; work experience processing complex academic files at UC or another top research institution, ideally in a graduate business school environment.
  • Experience supervising and supporting administrative support staff such as admin assistants, AP/HR professionals or or faculty support assistants. Experience implementing customer service standards, formalized admin support practices. Experience supervising those who organize faculty recruitment visits, job talks, relocation expense reimbursement, and/or experience supervising the logistics of small conferences, lecture series, faculty meetings.
  • Expert, thorough knowledge of systemwide and organization policies, union contracts, procedures and practices that govern academic HR administration.
  • Extensive knowledge of University, campus, School policies, procedures and regulations concerning all areas of academic personnel, including recruitment, professional reviews, compensation, payroll, Summer Session, Unit 18 (MOU), leaves, benefits, affirmative action, visas, discipline and conflict resolution, and fiscal administration (departmental and extramural funds) policies with the ability to appropriately interpret and implement those policies. Ability to continuously update knowledge through classes, policy manuals, independent study and interactions with colleagues across the campus and the UC system.

Pay Transparency Act

Annual Full Pay Range: $94,400 - $176,800 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $45.21 - $84.67

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
