Position Summary

The Document Specialist will be responsible for managing the end-to-end document fulfillment process, working closely with document generation vendors and the loss mitigation underwriting team. This role requires strong attention to detail, strong organizational skills, and the ability to ensure compliance with industry regulations and company policies. Notify and work with appropriate departments regarding workout agreements, process and prepare them timely, accurately and within investor guidelines.

Essential Functions

  • Draft and finalize closing agreements and loan modifications upon trial completion, ensuring all modification agreements are notarized.
  • Coordinate with document generation vendors to guarantee timely and accurate production of required documents.
  • Enter and upload documents into the internal imaging system (BLITZ/AIQ).
  • Properly notate customer files in the system of record with the last action and document tracking information.
  • Track the receipt of signed loan modification and partial claim agreements.
  • Communicate and collaborate effectively with individuals and teams to ensure high-quality and timely responses and resolutions to issues. Identify needs, propose innovative solutions, and deliver results within timelines.
  • Participate in activities and projects aimed at improving business performance.
  • Maintain effective communication with the management team and escalate issues as needed,
  • Stay current on industry regulations and recommend updates to internal policies, procedures, and systems based on new or changed requirements.
  • Process and fulfill document requests related to loss mitigation underwriting.
  • Verify the accuracy and completeness of documents before distribution.
  • Maintain organized records of all fulfilled documents and related communications.
  • Collaborate with the loss mitigation underwriting team to gather necessary information for document preparation.
  • Ensure compliance with company policies, industry regulations, and legal requirements.
  • Handle confidential information with discretion and integrity.
  • Troubleshoot and resolve any issues related to document fulfillment and vendor coordination.
  • Assist in the development and implementation of document management procedures.
  • Provide excellent customer service to internal and external stakeholders.
  • Follow Guild's information security policies.
  • Perform other duties as assigned.

Qualifications

  • High school diploma, or equivalent required. Bachelor's degree in business, finance, or related is preferred.
  • Minimum two years or more years total mortgage servicing experience or loss mitigation roles.
  • Accurate data entry.
  • Ability to organize and manage multiple priorities simultaneously.
  • Strong interpersonal and customer service skills.
  • Must be able to handle confidential matters with discretion.
  • Proven experience in document management, fulfillment, or a related field.
  • Experience working with document generation vendors and/or loss mitigation underwriting is a plus.
  • Strong working knowledge of FNMA/ FHLMC/ FHA/ VA mortgage loan documents, including overall processes and inter-relationships, standards and requirements, terminology, compliance and regulatory requirements related to federal debt collection laws, Federal Bankruptcy Laws, and proper handling of other legal situations.
  • Knowledge of Standard Operating Procedures, CFPB, FCRA, and FDCPA preferred.
  • Strong interpersonal and problem-solving skills.
  • Intermediate math skills Analytical thinking.
  • Proficiency with basic internet searches.
  • Familiarity with document retention software; Blitzdoc /ICE preferred.
  • Excellent interpersonal communication skills required.
  • Highly organized and detail-oriented; ability to work in a fast-paced, metrics-driven environment required.
  • Proficiency in Microsoft Office Suite, Word, Excel, Wiki, collaborative cloud-based programs, and third-party software applications required.

Requirements

  • Physical: Work is primarily sedentary; occasionally walks and/or stands.
  • Manual Dexterity: Ability to operate standard office equipment and keyboards
  • Audio/Visual: Regularly required to accurately perceive, distinguish and interpret information received visually and through audio; e.g., words, numbers and other data broadcasted aloud/viewed on a screen, as well as print and other media.
  • Environmental: Office environment – no substantial exposure to adverse environmental conditions.
  • Travel: 5% or less
  • Mental: Learn new tasks, remember processes, maintain focus, complete tasks independently, and make timely decisions in the context of a workflow. This role requires effective adaptation to workplace stressors, including customer service complaints, security responsibilities, and competing priorities. Must be able to adhere to process protocol. Must be able to apply established protocols in a timely manner.
  • Schedules: Work is primarily performed during the business week, Monday - Friday.

Compensation at Guild is influenced by a wide array of factors including but not limited to local and federal minimum wage requirements, education, level of experience, and applicant’s geographical location.
