This position will be filled to work onsite at the Jack Henry Springfield, MO office location.
What you'll be responsible for:
- Manages visitor services end-to-end, setting standards for greeting protocols, ensuring security compliance, and supporting cross-team collaboration to deliver simple and secure guest experience.
- Leads efforts to maintain high standards of cleanliness and presentation, proactively identifying needs and coordinating with cross-functional teams to ensure a consistently polished environment.
- Oversees office supply inventory with a focus on cost efficiency, proactively managing purchasing, tracking usage trends, and ensuring timely distribution across departments.
- Coordinates complex vendor activities across multiple projects, ensuring service delivery aligns with timelines, quality expectations, and site requirements.
- Manages detailed equipment tracking systems, maintaining up-to-date records of asset data to ensure inventory integrity and support operational needs.
- Leads the strategic planning, coordination, and scheduling of on-site meetings and events, ensuring excellence in execution.
- Directs cross-team collaboration with minimal supervision.
- Serves as the primary expert in concierge services, offering comprehensive knowledge and support. Leads initiatives, mentors junior coordinators, and ensures high standards of service with minimal supervision. Serves as the expert in understanding and utilizing floor plans to support and guide on-site conference room assignments, office hoteling arrangements, and concierge services. Leads initiatives, mentors junior coordinators, and ensures high standards of service with minimal supervision.
- Leads efforts to create experiences that reflect company culture, strategically ensuring consistently high Host Satisfaction scores. Provides expert guidance and implements initiatives that enhance the overall workplace experience with minimal supervision.
- Ensures adherence to concierge policies and procedures, while identifying and recommending process improvements to enhance service delivery
- Leads process improvements and optimizes task management workflows by leveraging user request systems, Microsoft Office, and other technology solutions.
- Improves and maintains high standards of business correspondence by streamlining processes and driving timely, professional responses across multiple channels.
- Coordinates with cross-functional teams to optimize the intake and delivery of supply requests, ensuring streamlined support for multiple locations.
- Maintains accurate financial records and ensures timely submission of complex expense reports, while supporting adherence to budget and compliance guidelines.
- Independently prioritizes and executes high-volume errands, including meals, supplies, and mail, with a focus on minimizing operational downtime and ensuring seamless daily support.
- Provides backup support and mentorship to Office Experience Coordinators, ensuring seamless coverage and maintaining service standards during absences or peak periods.
- Models professionalism and positivity in every interaction, setting the standard for team conduct and contributing to a welcoming, service-oriented workplace culture.
- May perform other duties as assigned.
What you'll need to have:
- Must have 4 years of experience in hospitality or customer service.
- Must have proficient experience with MS Excel.
- Must be able to travel up to 10% to attend Jack Henry meetings and or conferences.
- Excellent written and verbal communication skills.
- Strong attention to detail and organizational skills.
- Ability to complete ta tasks resourcefully and efficiently.
What would be nice for you to have:
- 2 years of experience coordinating meetings and or events.
- Experience with vendor and office management.
- Demonstrated initiative in driving process improvements.
- Experience coaching teams of various sizes.
